October 5th Prep Meeting for Larger 10/10 Neighborhood Meeting
In attendance: John & Maggie Maxell, Debbie King, Judy Floster, Debbie Morgan, Maya Manseau, Payden Kirkbride, Thomas Gleeson
Minutes:
Payden reached out to get the last household email, so we now have email addresses for every household. Maya has updated the steering committee spreadsheet with all information collected by people or registered on the website.
We discussed adding a sign at the beginning of the neighborhood “Proceed at your own risk.”
It was discussed that Maya will add an RSVP meeting to the website (completed!) so that we can try to find out in advance if a quorum can be reached at our neighborhood meeting on 10/10. We must have a quorum to vote on two issues:
Representatives for the meeting that the town is holding in regards to the MOU (memorandum of understanding) between the Town, Brian Merrill, and the homeowners in the neighborhood.
In the agreement, it is stated as an expectation that the neighborhood will form a formal road assocation and register with the state upon completion of the road work and cistern by Brian Merrill. At this time, the steering committee feels that how we form our road association should not be a dependency in the MOU and that when all of the work is completed, homeowners can make a decision at that point. We would like to get a quorum vote on removing (or not) this item from the MOU.
In preparation for the neighborhood meeting on 10/10, the following item were discussed:
Thomas Gleeson volunteered to lead the meeting.
Maya Manseau volunteered to take minutes.
We will provide colored voting papers to use to ensure one vote per address.
Maya has enough seating for 14 people, so others will bring folding chairs to supplement.
We discussed that we want one representative each from Upper Fern, Lower Fern, and Destinee Lane. While we are completely open to having anyone take each of these spots, we also agreed that if no one else volunteered Debbie Morgan (upper Fern), Maya Manseau (lower Fern), and Maggie Maxell (Destinee) agreed to be nominated.
Agenda was set for the meeting:
Welcome
Discussion of the website being used as the primary source of information going forward.
Treasurer’s Report
Reading of the letter from the town and the town’s responses to our questions.
General discussion/questions regarding the information
Voting for representatives
Voting for decision regarding removing the road association formation from the MOU wording.
